Session Chair Role

This position supports the Papers Chair of the respective technology committee by communicating to the authors on topic content as well as on missing or late submission of required information. The Session Chairs will review and evaluate the paper and presentation files for content as well as for publication and awards (an evaluation form will be provided). Your AIST staff engineer will provide staff support to ensure your success in fulfilling the duties of a Session Chair.

  • Accept or decline the appointment of a Session Chair (if you choose not to accept, please email Lauren Dlugopolski at ldlugopolski@aist.org)
  • Contact the authors in your session to ensure they meet their deadlines:
    • Papers due to AIST for inclusion into the proceedings | February 17
    • Author Registration Deadline (required for paper inclusion to proceedings) | March 5
    • Draft Presentation Files | March 17
  • Register for the conference – use your discount code to receive a $175 discount off the registration fee.
  • Review paper and presentation files when available using the online Session Owner & Grader Portals.
  • Contact authors for clarification or missing information, if needed.
  • Paper Evaluations due - this should be done prior to the conference | May 1
  • RSVP for Author/Chair Breakfast upon receiving the invitation.

  • Attend Author/Chair Breakfast the day of your session to meet authors & obtain Session Chair Folder which contains bio of authors and other important information.
  • Go to the session room 30 minutes before the session to ensure the room setup is complete.
  • In the session room, locate lights and check audio-visual equipment.
  • Start and finish papers on time and as scheduled.
  • Introduce Session Chairs & presenters (ensure all use microphones)
  • Emphasize AIST Antitrust Guidelines (you are authorized to terminate a presentation if commercial or AIST Antitrust Guidelines are violated)
  • Q&A period:
    • Solicit questions with the inquirer stating name and company
    • Repeat question to audience if necessary
    • Limit so that next presentation begins on time
  • Present Author Certificates to presenters after their presentation.

Commercialism Policy

Papers and presentations delivered at AIST-sponsored forums are intended to be technical in nature, with solutions supported by verifiable data. Commercially motivated commentary or endorsement of specific brands or companies is not acceptable. Each paper/ presentation will be peer reviewed by forum organizers to ensure compliance with this policy. If the paper/presentation is deemed to be in violation, the author/presenter will be notified by the forum organizer(s) and given the opportunity to revise the content or to withdraw the paper/presentation. To preserve and protect the interests of AIST, forum organizers will have the authority and the responsibility to stop any paper/presentation they determine to be in violation of this policy. Adherence to the Commercialism Policy should include minimization of references to product branding in the paper/presentation and utilization of the provided AIST presentation templates.

Anti-Harassment Policy

The Association for Iron and Steel Technology (AIST) is dedicated to providing harassment-free events for everyone, regardless of age, race, religion, disability, gender, gender identity or sexual orientation. We do not tolerate harassment in any form of anyone attending an AIST event.

Harassing behaviors include: offensive verbal comments related to age, race, religion, disability, gender, gender identity or sexual orientation; the use or display of sexual images, activities or commentary in public spaces; deliberate intimidation; stalking or following; harassing photography or recording; sustained disruption of events; or inappropriate physical contact.

Participants asked to stop any harassing behavior are expected to comply immediately. Participants violating this policy may be sanctioned or expelled from the event or the membership at the discretion of the AIST leadership.
